Rentchee Tenant Agreement

This Tenant Agreement ("Agreement") is a binding contract between Rentchee ("Rentchee," "we," "us," or "our"), a Canadian software platform, and the business entity or individual registering for a Rentchee account ("Tenant," "you," or "your").
By creating a Rentchee account, clicking "I agree," or using the Rentchee platform in any way, you accept and agree to be bound by this Agreement. If you are entering into this Agreement on behalf of a business, you represent that you have the authority to bind that business.
If you do not agree to these terms, do not create an account or use the platform.
1.Definitions
- "Platform" means the Rentchee software, including the tenant admin dashboard, public storefront, customer portal, mobile driver application, and all associated features.
- "Tenant Site" means the branded storefront and admin environment provisioned to you upon signup, accessible at your assigned subdomain ([slug].rentchee.ca) and any connected custom domain.
- "Tenant Data" means all data you input, upload, or generate through the Platform, including inventory, orders, customer records, and business settings.
- "End Customer" means an individual who interacts with your Tenant Site to browse, request quotes, or book rentals.
- "Subscription Plan" means the pricing tier you select (Starter, Professional, Business, or Enterprise).
2.The Service
Rentchee provides a multi-tenant Software-as-a-Service platform enabling event rental businesses to manage inventory, bookings, quotes, contracts, payments, delivery logistics, customer relationships, and related business operations. Features available to you depend on your selected Subscription Plan, as described at rentchee.ca/platform.
Rentchee reserves the right to modify, add, or remove features at any time, provided that no such change materially reduces the core functionality of your active Subscription Plan without reasonable notice.
3.Account Registration & Eligibility
3.1 You must be at least 18 years old and have the legal authority to enter into this Agreement on behalf of your business.
3.2 You must provide accurate, current, and complete information during registration and keep it updated.
3.3 You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account, including actions taken by staff users you invite.
3.4 One Rentchee account represents one Tenant business. You may not use a single account to operate multiple unrelated businesses without our prior written consent.
4.Free Trial
4.1 New Tenants receive a 30-day free trial with access to the features of their selected Subscription Plan.
4.2 No credit card is required to begin a trial unless otherwise stated at signup.
4.3 At the end of the trial period, you must add a valid payment method to continue using the Platform. If no payment method is added, your Tenant Site will be placed in a read-only state, and full access will resume once a payment method is provided and your first payment is processed.
4.4 Rentchee reserves the right to modify trial length or eligibility at its discretion for future signups; changes will not retroactively shorten a trial already in progress.
5.Subscription Plans & Fees
5.1 Current Subscription Plans and pricing are published at rentchee.ca/platform and are stated in Canadian Dollars (CAD).
5.2 Subscription fees are billed monthly or annually, in advance, based on your selected billing cycle.
5.3 Rentchee may change Subscription Plan pricing at any time. Price changes will not apply to your current billing cycle already paid for, and we will provide at least 30 days notice before any price increase takes effect on your account. Tenants on annual plans have their price locked for the remainder of their current annual term regardless of any list price change.
5.4 All fees are exclusive of applicable taxes (including GST/HST/PST) unless otherwise stated, which will be added to your invoice as required by law.
6.Billing, Payment Failures & Suspension
6.1 You authorize Rentchee to charge your payment method on file for all applicable fees on each billing cycle.
6.2 If a payment fails, Rentchee will notify you and attempt to retry the charge. If payment is not resolved within 7 days of the failed attempt, your Tenant Site will be suspended (data preserved, access restricted) until payment is resolved.
6.3 If an account remains unpaid for 30 days following suspension, Rentchee reserves the right to terminate the account. Reasonable efforts will be made to notify you before termination.
6.4 You may upgrade or downgrade your Subscription Plan at any time through your account settings. Upgrades take effect immediately with prorated billing; downgrades take effect at the start of the next billing cycle.
7.Tenant Data Ownership & License
7.1 As between you and Rentchee, you retain all ownership rights to your Tenant Data, including your inventory, customer records, branding, and business content.
7.2 You grant Rentchee a limited, non-exclusive license to host, store, process, and display your Tenant Data solely as necessary to provide the Platform's functionality to you and your End Customers.
7.3 Rentchee will not sell your Tenant Data or use it to train third-party AI models beyond what is necessary to power the AI chatbot feature on your own Tenant Site, using data scoped exclusively to your account.
7.4 You may export your Tenant Data at any time through the account export feature described in Section 12.
8.AI Chatbot Feature
8.1 If enabled, the Rentchee AI chatbot uses OpenAI's technology to answer End Customer inquiries using your inventory and business information.
8.2 You are responsible for reviewing chatbot conduct on your Tenant Site and reporting any concerns to Rentchee.
8.3 Rentchee is not liable for inaccurate chatbot responses resulting from incomplete or outdated inventory data provided by you.
9.Custom Domains
9.1 On eligible Subscription Plans, you may connect a custom domain you own to your Tenant Site.
9.2 You are solely responsible for maintaining ownership, renewal, and DNS configuration of any custom domain you connect.
9.3 Rentchee provides free, automated SSL certificate provisioning for connected custom domains as part of the Platform, subject to correct DNS configuration on your end.
9.4 If you cancel your subscription or your custom domain configuration lapses, your Tenant Site remains accessible at your default [slug].rentchee.ca address.
10.Acceptable Use
You agree not to:
- Use the Platform for any unlawful, fraudulent, or deceptive purpose
- Upload content that is defamatory, obscene, or infringes on any third party's intellectual property or privacy rights
- Attempt to gain unauthorized access to another Tenant's data, account, or Tenant Site
- Interfere with or disrupt the integrity or performance of the Platform, including through excessive automated requests, scraping, or security testing without prior written authorization
- Use the Platform to collect End Customer data for purposes unrelated to your legitimate rental business operations without appropriate consent
- Resell or white-label the Platform itself as your own SaaS product without a separate written reseller agreement with Rentchee
- Circumvent any usage limits, feature gates, or security controls of your Subscription Plan
Violation of this section may result in suspension or termination of your account without refund.
11.Your Responsibilities as a Tenant
11.1 You are solely responsible for the accuracy of your inventory listings, pricing, rental terms, and contracts presented to your End Customers.
11.2 You are responsible for complying with all applicable laws in your operation of your rental business, including consumer protection law, tax law, and privacy law (including obtaining appropriate consent from your End Customers for the collection and use of their personal information).
11.3 You are responsible for the conduct of any staff users you invite to your Tenant Site and for promptly removing access for staff who no longer require it.
11.4 You are responsible for reviewing and customizing default legal templates provided by the Platform (such as rental agreement terms) to ensure they are appropriate and legally sufficient for your specific business and jurisdiction. Rentchee provides these templates as a convenience only and does not guarantee their legal sufficiency for your circumstances.
12.Data Export & Portability
12.1 You may request a complete export of your Tenant Data at any time through Settings → Account → Export My Data, or by contacting support@rentchee.ca.
12.2 Exports are provided in commonly readable formats (CSV, JSON, PDF where applicable) within a reasonable timeframe, generally within 5 business days of request.
12.3 Following account cancellation, your Tenant Data remains available for export for 30 days before being subject to deletion per our data retention practices described in our Privacy Policy.
13.Intellectual Property
13.1 Rentchee and its licensors retain all right, title, and interest in and to the Platform, including its software, design, trademarks, and underlying technology. Nothing in this Agreement transfers any such rights to you.
13.2 You retain all rights to your business name, logo, branding, and content that you upload to your Tenant Site.
13.3 You grant Rentchee a limited license to display your branding and content solely as necessary to operate and market your Tenant Site, and (with your consent) to feature your business as a customer reference or case study.
14.Warranties & Disclaimers
14.1 Rentchee will use commercially reasonable efforts to maintain Platform availability and security, consistent with the practices described in our Privacy Policy and Security documentation.
14.2 THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT, EXCEPT AS EXPRESSLY STATED IN THIS AGREEMENT.
14.3 Rentchee does not guarantee uninterrupted or error-free operation of the Platform and is not liable for downtime caused by third-party service providers (including Base44, Stripe, PayPal, Cloudflare, or OpenAI), scheduled maintenance, or events beyond our reasonable control.
15.Limitation of Liability
15.1 TO THE MAXIMUM EXTENT PERMITTED BY LAW, RENTCHEE'S TOTAL LIABILITY TO YOU FOR ANY CLAIM ARISING OUT OF OR RELATING TO THIS AGREEMENT SHALL NOT EXCEED THE TOTAL FEES PAID BY YOU TO RENTCHEE IN THE 12 MONTHS PRECEDING THE CLAIM.
15.2 IN NO EVENT WILL RENTCHEE BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITY, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
15.3 Nothing in this Agreement limits liability for gross negligence, willful misconduct, or any liability that cannot be limited under applicable Canadian law.
16.Indemnification
You agree to indemnify and hold Rentchee harmless from any claims, damages, liabilities, and expenses (including reasonable legal fees) arising from: (a) your violation of this Agreement; (b) your Tenant Data or content; (c) your relationship with your End Customers; or (d) your violation of any applicable law or third-party right.

17.Confidentiality
Each party agrees to protect the other's confidential information disclosed during the course of this Agreement with the same degree of care it uses for its own confidential information, and not to disclose it to third parties except as necessary to perform obligations under this Agreement or as required by law.
18.Term & Termination
18.1 This Agreement remains in effect for as long as you maintain an active Rentchee account.
18.2 You may cancel your subscription at any time through Settings → Billing → Cancel Subscription. Your Tenant Site remains active until the end of your current billing period.
18.3 Rentchee may suspend or terminate your account for violation of this Agreement, non-payment (per Section 6), or if required by law, with notice where reasonably possible.
18.4 Upon termination, Sections 7, 12, 13, 15, 16, and 17 of this Agreement survive termination.
19.Third-Party Services
The Platform integrates with and relies on third-party service providers, including Base44 (hosting), Stripe and PayPal (payments), OpenAI (AI features), Cloudflare (security/CDN), and other optional integrations you may choose to enable. Your use of these integrated services may be subject to the respective third party's own terms of service, and Rentchee is not responsible for the acts or omissions of these third parties.
20.Governing Law & Dispute Resolution
20.1 This Agreement is governed by the laws of the Province of Saskatchewan and the federal laws of Canada applicable therein, without regard to conflict of law principles.
20.2 Any dispute arising from this Agreement will first be addressed through good-faith negotiation between the parties. If unresolved within 30 days, the dispute shall be submitted to binding arbitration in Regina, Saskatchewan, or resolved in the courts of Saskatchewan, at Rentchee's election.
21.Changes to This Agreement
Rentchee may update this Agreement from time to time. Material changes will be communicated via email to active Tenants at least 14 days before taking effect. Continued use of the Platform after changes take effect constitutes acceptance of the updated Agreement.
22.General Provisions
22.1 Entire Agreement. This Agreement, together with our Privacy Policy and any applicable order form, constitutes the entire agreement between you and Rentchee regarding the Platform.
22.2 Assignment. You may not assign this Agreement without our written consent. Rentchee may assign this Agreement in connection with a merger, acquisition, or sale of assets.
22.3 Severability. If any provision of this Agreement is found unenforceable, the remaining provisions remain in full effect.
22.4 Force Majeure. Neither party is liable for delays or failures caused by events beyond its reasonable control, including natural disasters, internet or infrastructure outages, or acts of government.
22.5 No Waiver. Failure to enforce any provision of this Agreement does not constitute a waiver of that provision.
22.6 Notices. Notices to Rentchee should be sent to support@rentchee.ca. Notices to you will be sent to the email address on file for your account.

Rentchee ("Rentchee," "we," "us," or "our") is a Canadian-owned software platform that provides event rental businesses with tools to manage inventory, bookings, contracts, payments, and customer relationships. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use rentchee.ca, any tenant storefront hosted on our platform (including custom domains), and our admin applications.
This policy applies to two groups of people:
- Tenants — event rental businesses who subscribe to Rentchee to run their operations
- End Customers — individuals who interact with a tenant's storefront to browse, book, or rent items
By using Rentchee, you agree to the collection and use of information in accordance with this policy.
1.Information We Collect
1.1 Information Tenants Provide
When a business signs up for Rentchee, we collect:
- Business name, address, phone number, and email
- Owner or administrator name and login credentials
- GST/HST number and tax settings
- Payment gateway credentials (Stripe/PayPal API keys, encrypted)
- Business branding assets (logo, photos, color preferences)
- Staff user accounts and role assignments
1.2 Information End Customers Provide
When an individual interacts with a tenant's storefront, we (on behalf of the tenant) may collect:
- Name, email address, phone number, and delivery address
- Event details (date, type, guest count)
- Order, quote, and payment history
- Account login credentials, if a customer account is created
- Communications with the tenant, including AI chatbot conversations
1.3 Information Collected Automatically
- IP address, browser type, and device information
- Pages visited and actions taken on the platform
- Cookies and similar tracking technologies (see Section 6)
- Log data related to security and platform performance
1.4 Payment Information
Rentchee does not directly collect or store full credit card numbers. Payments are processed through Stripe and/or PayPal, each of which maintains its own PCI-DSS compliant infrastructure. Rentchee stores only transaction references, amounts, and status — never full card numbers.
2.How We Use Information
We use collected information to:
- Provide, operate, and maintain the Rentchee platform
- Process bookings, quotes, contracts, invoices, and payments
- Enable tenant-customer communication, including automated emails
- Power the AI-assisted customer chatbot to answer inventory and booking questions
- Detect and prevent fraud, abuse, and security threats
- Send administrative notifications (billing, security alerts, service updates)
- Send marketing communications where consent has been given, and allow recipients to opt out at any time
- Comply with legal, tax, and regulatory obligations
- Improve platform features, reliability, and performance
We do not sell personal information to third parties.
3.Where Your Data Is Stored
Rentchee's core platform infrastructure is provided by Base44, a third-party application hosting platform. As a result, personal information collected through Rentchee — including names, email addresses, phone numbers, order details, and business records — is stored and processed on servers located in the United States.
To provide an additional layer of protection and business continuity, Rentchee also maintains an independent, encrypted backup of critical platform data on servers located in Canada. This backup is created on a nightly basis, encrypted using industry-standard AES-256 encryption, and retained for 90 days. This backup exists solely for disaster recovery and business continuity purposes and is not used for day-to-day platform operations.
By using Rentchee, you acknowledge and consent that your personal information may be transferred outside of Canada, and may be subject to the laws of the jurisdiction where it is stored, including potential access by that jurisdiction's government authorities or courts under applicable local law.
We take reasonable steps to ensure that any third-party service provider who stores or processes personal information on our behalf maintains a comparable level of protection through contractual safeguards, encryption, and access controls.
4.Third-Party Service Providers
Rentchee relies on the following third-party services (sub-processors) to operate the platform. Each provider processes data only as necessary to deliver its specific function:

Tenants may choose to enable or disable optional integrations; data is only shared with a given provider when that integration is actively connected.
5.AI Chatbot Disclosure
Rentchee includes an AI-powered chatbot, built using OpenAI's technology, that assists end customers with questions about inventory availability, pricing, and general inquiries. Conversations with the chatbot may be:
- Processed by OpenAI to generate responses
- Logged and stored for quality assurance, dispute resolution, and platform improvement
- Reviewed by the relevant tenant business to follow up on customer inquiries
Do not share sensitive personal information (such as government ID numbers or financial account details) in chatbot conversations.
6.Cookies and Tracking Technologies
Rentchee uses cookies and similar technologies to:
- Maintain login sessions
- Remember preferences and cart contents
- Measure site performance and usage (where analytics integrations are enabled by a tenant)
Cookie categories:
- Essential cookies — required for the platform to function (session management, security). These cannot be disabled.
- Analytics cookies — used only if a tenant has enabled Google Analytics or similar tools. Requires visitor consent via the cookie banner.
- Marketing cookies — used only if a tenant has enabled marketing pixel integrations (e.g., Facebook Pixel). Requires visitor consent.
You can manage cookie preferences through the consent banner shown on first visit, or through your browser settings.
7.Data Retention

8.Your Rights
Depending on your relationship to Rentchee (tenant or end customer), you may exercise the following rights by contacting support@rentchee.ca:
- Right to Access — Request a copy of the personal information we hold about you
- Right to Correction — Request correction of inaccurate or outdated information
- Right to Deletion — Request deletion of your personal information, subject to legal retention requirements (e.g., financial records)
- Right to Withdraw Consent — Opt out of marketing communications at any time
- Right to Data Portability — Request an export of your data in a portable format
We will respond to verified requests within 30 days, in accordance with PIPEDA.
9.Data Security
We implement industry-standard security measures, including:
- Encryption of sensitive data at rest (AES-256) and in transit (TLS 1.2+)
- Multi-factor authentication available for tenant and administrative accounts
- Role-based access controls limiting data access to what is necessary
- Continuous security audit logging
- Automated, encrypted, geographically-independent backups
- Regular security reviews and vulnerability monitoring
No system can guarantee absolute security. In the event of a data breach affecting personal information, we will notify affected individuals and relevant authorities as required under PIPEDA, generally within 72 hours of confirming a breach that creates a real risk of significant harm.
10.Children's Privacy
Rentchee is intended for use by businesses and individuals aged 18 and older. We do not knowingly collect personal information from children. If we become aware that a child's information has been collected without appropriate consent, we will delete it promptly.
11.International and Cross-Border Considerations
As described in Section 3, certain personal information may be processed or stored outside of Canada. Where information is transferred internationally, we rely on contractual safeguards with our service providers to help ensure an adequate level of protection is maintained.
12.Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will post the updated policy on this page with a revised "Last Updated" date. Material changes will be communicated to tenants via email where appropriate.
